Answering Now LLC ("Answering Now," "we," "us," or "our") operates the AI-powered phone answering service available at answering.now. This Privacy Policy describes how we collect, use, store, and protect information when you interact with our service, visit our website, or communicate with us.
By using our service, visiting our website, or calling our phone lines, you acknowledge that you have read and understand this Privacy Policy.
1. Information We Collect
We collect information in three categories:
Information from callers. When someone calls a phone number managed by Answering Now, our AI agent may collect the caller's name, phone number, reason for calling, business name, and any other details the caller provides during the conversation. Call audio may be processed in real time by our AI system to generate a text summary of the conversation.
Information from clients (business subscribers). When you subscribe to Answering Now, we collect your name, business name, email address, phone number, mailing address, service area, business hours, and service descriptions. Payment information such as credit card details is collected and processed by Stripe, Inc., our third-party payment processor. We do not store full credit card numbers on our servers.
Website visitor information. When you visit answering.now, we may collect standard web analytics data such as IP address, browser type, referring page, and pages viewed. We use this data to understand how visitors interact with our site and to improve the experience.
2. How We Use Information
We use the information we collect to deliver and operate the Answering Now service, send call summaries and lead notifications to our subscribing clients via text message and email, process payments and manage subscriptions, communicate with clients about their accounts and service updates, improve our AI agents and the quality of call handling, and comply with legal obligations.
3. How We Share Information
We share caller information (name, phone number, reason for calling) with the subscribing business client whose phone line received the call. This is the core function of our service.
We also share information with the following categories of service providers who help us operate: Retell AI (voice AI platform that processes calls), Twilio (telecommunications and SMS delivery), Supabase (database hosting), Stripe (payment processing), Microsoft 365 (email delivery for notifications), and n8n (workflow automation, self-hosted).
We do not sell, rent, or trade personal information to third parties for marketing purposes.
We may disclose information if required by law, subpoena, court order, or other legal process, or if we believe disclosure is necessary to protect the rights, property, or safety of Answering Now, our clients, or others.
4. Call Recording and AI Processing
Calls handled by Answering Now are processed by an AI voice agent in real time. The AI system generates a structured summary of each call, including the caller's name, contact information, and reason for calling. Call transcripts and summaries are stored in our database to deliver notifications and support service quality.
If call audio recording is enabled for a client's agent, callers will be informed at the beginning of the call. Call recordings are stored securely and retained according to our data retention practices described below.
5. SMS and Text Messaging
Answering Now sends text message notifications to subscribing clients when calls are received. These messages contain caller details and call summaries. Message frequency varies based on call volume. Message and data rates may apply. Clients can opt out of SMS notifications by contacting us at wayne@answering.now.
We do not send unsolicited marketing text messages to callers or to any phone numbers collected during calls.
6. Data Retention
We retain call data (summaries, transcripts, and associated metadata) for as long as the subscribing client maintains an active account, plus 90 days after account cancellation. Clients may request earlier deletion of their call data by contacting us.
Payment records are retained as required by applicable tax and accounting regulations.
7. Data Security
We implement reasonable administrative, technical, and physical safeguards to protect the information we collect. These measures include encrypted data transmission (TLS/SSL), access controls on our databases and infrastructure, and secure authentication for all administrative systems.
No method of electronic transmission or storage is completely secure. While we work to protect your information, we cannot guarantee absolute security.
8. Your Rights and Choices
You may request access to the personal information we hold about you, request correction of inaccurate information, request deletion of your personal information (subject to our legal retention obligations), and opt out of SMS notifications.

9. Children's Privacy
Our service is designed for businesses and is not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected information from a child under 18, we will delete that information promptly.

Our website may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to review the privacy policies of any third-party sites you visit.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we make changes, we will update the "Effective date" at the top of this page. We encourage you to review this page periodically. Continued use of our service after changes are posted constitutes acceptance of the updated policy.
